Audio Video Project Coordinator

Job Description

This position coordinates personnel and equipment for all orders processed by the operations department; scheduling internal and external personnel and allocating project material. Responsibilities include, but are not limited to, coordinating among project managers, sales coordinators and clients, creating and maintaining project database, project scheduling and other duties and tasks as assigned by the Project Manager team.

Essential Functions

65% Personnel Coordination/Scheduling:

  • Process requests for integration personnel – internal and external resources – as received from Sales Support and Project Managers; updating the shared calendar
  • Process requests for engineering resources.
  • Track integration capacity and resource assignment to project tasks; keep management informed of shortages or the need for billable appointments
  • Schedule project kick off meetings
  • Coordinate and maintain an open line of communication among the sales force, project managers, engineers, other company resources (subcontractors), manufacturers and clients
  • Help manage scheduling of Audio-Visual installation projects with Client.

30% PM /Sales Support:

  • Acknowledge orders with customers; verify the site readiness/shipping information, set/confirm client expectations, obtain approval for any direct shipments and coordinate project installation dates
  • Help process Submittal/ As Built close out documentation.
  • Complete updates for weekly scheduling meetings
  • Maintain General Contractor and subcontractor relationships and files; including negotiations, purchase orders (PO’s), changes orders (CO) request for information (RFI) scheduling manpower, contact information, insurance and certifications and work in progress
  • Assist PM’s with processing invoices for projects & forward to accounting for processing.
  • Act as alternate contact for client if Sales Rep. or Project manager is not available for pre- and post-sale questions or concerns, including creation of formal quotes, if needed.
